The Making Tax Digital regime has forced VAT registered businesses to keep their records electronically.
Digital bookkeeping systems can be accessed using computers and smartphones with the software used to generate sales invoices, reconcile the bank and control stock levels as well as prepare VAT returns.
There are many on the market, each with their own individual apps that allow accounting data to be seamlessly transferred and accessed quickly and easily on mobiles and electronic devices.
Each system has its own advantages and disadvantages with some more suitable than others for specific business types.

FreeAgent
FreeAgent is available free for business account customers of:
NatWest
Royal Bank of Scotland and
Ulster Bank
As well as those making at least one transaction a month through a Mettle bank account.
For others it starts from £290 plus VAT a year, subject to offers – currently 50% of for the first 12 months. A pay monthly option is also available but is slightly more expensive.
FreeAgent is easy to use and enables receipt capture from photographs, so you can use your phone to assist with your bookkeeping when you are out and about. Your bank transactions can also be automatically pulled through into the software.

Sage
For those familiar with Sage, Sage One is the Cloud version it will do everything KashFlow does without having to worry about using an unknown system. They do offer a migration service enabling you to merge five years of historical data from Sage Instant and Line 50 on to the Sage One system.
Xero
The only difference Xero offers is that it has a stock control system. You can also do expense claims to reimburse your employees, employees can take a photo of the receipt attach it to the expense claim and submit it for approval cutting out the chance of the receipt being lost. These are all built into the system whereas Sage and KashFlow would require add-ons.
